Step 5: Arranging other campus services

Do you need audio or visual equipment?

  • If your event is in the Brower Student Center (BSC), speak with your CSMS Coordinator.
  • If your event is outside of the BSC, you need to contact MTSS

Do you need a computer or wireless internet access?

  • Speak with your CSMS Coordinator or you can contact the Help Desk directly to get a guest log in and access code for your event.

Do you need any telecommunication connections?

(i.e. phone line, speaker phone, long distance)

  • Speak with your CSMS Coordinator or you can contact Telecommunications directly to get a phone and/or long distance access code for your event.

Do you need any equipment for displays?

(i.e. easels, display bords, etc.)

  • If your event is in the BSC, speak with your CSMS Coordinator. Outside of BSC – the campus does not have an inventories of easels. You will have to prepare to bring your own.

Do you need access to athletic space in the Rec Center, Packer Hall, or Aquatics Center?

  • If yes, you must speak to Aaron Becker, Athletics Facility Coordinator.

Do you need access to electrical outlets, or any specialized electricity work?

  • Please speak with your CSMS Coordinator, who will place the work order information for the appropriate service provider(s) onto your contract.

Do you need campus signage?

  • Please speak with your CSMS Coordinator, who will place the work order information for the appropriate service provider(s) onto your contract.
  • Paper signage must be placed with the intent to not damage any campus surface. Signs should be computer printed and put up with non damaging materials. Some signs must be stamped with an approval for posting. Please speak with your CSMS Coordinator for details.

Do you need trash cans or recycle cans?

  • Please speak with your CSMS Coordinator, who will place the work order information for the appropriate service provider(s) onto your contract.

Do you need parking / traffic control?

  • Please speak with your CSMS Coordinator, who will place the work order information for the appropriate service provider(s) onto your contract.

Do you need overnight accommodations for your guests?

  • The campus offers overnight accommodations for summer residential conferences.
  • Your CSMS Coordinator can also recommend local hotels for this purpose.

Will your event take place after hours?

  • If so, we may need to make arrangements with either Access Control, Campus Police or Building Services to unlock the building, the classroom doors, and /or to maintain the space during your event. Speak with your CSMS Coordinator for more details on these services and any associated fees.
  • Additionally, you may want to request keys to the classrooms you will use. Keys are obtained through Access Control and must be requested in advance

Will your event take place during a time when you may want to ensure either air-conditioning or heating?

  • If so, discuss this with your CSMS Coordinator.

Do you need to make any other campus area aware of your event?

(i.e. the Campus Book Store, College Relations, Dining Services, Grounds, Building Services, Campus Construction, President’s Office, Campus Police, etc.)

  • Again, speak with your CSMS Coordinator.

Do you need decorations for your event?

  • Decorations for your event (such as balloons, confetti, glitter) in certain areas of the campus are not permitted, check with your CSMS Coordinator.

Do you need to drive on campus walkways?

  • No vehicles are authorized to be on the campus walkways at any time without proper permits.
